Choosing is different from evaluating. Evaluation tells you whether a counterpart is sound. Choosing tells you whether they fit what you are actually trying to buy. This guide works through the decisions in the order that makes the shortlist obvious.

Decide your specification before you compare quotations

A quotation cannot be compared against another quotation unless both were asked the same question. The most common reason two prices look far apart is that they are describing different material.

  • Washed or not washed, which is to say low EC or high EC.
  • The grading you need, and whether you will blend anything into it.
  • The format, compressed block or loose bagged material.
  • Whether you will buffer or treat the medium yourself before use.

Choose the format around your handling, not your price list

Compressed blocks
More material per container, because the air has been pressed out. The cost moves to your site, where the blocks must be broken down and hydrated before use.
Loose bagged material
Arrives ready to fill into pots, slabs or beds. Less handling on arrival, and the container carries less material because it is not compressed.
Coco husk chips
A coarser fraction, usually blended in where more air is wanted in the root zone rather than used alone.

If your team is short handed on arrival, the loose bagged format often wins even when the arithmetic per container looks worse.

Match volume and cadence honestly

A supplier who can fill one container comfortably and a supplier who can hold a repeating monthly programme are solving different problems. Say which one you are, because the answer changes who is right for you.

Be equally honest about your own growth. A first order placed as a test, described as a test, gets a better reception than a first order described as the start of a large programme that then does not follow.

Check the destination fit early

Import conditions are set by the authority in the destination country, not by the seller, and they are the single most common cause of a first shipment going wrong. Establish early that your counterpart understands what your destination requires and will arrange the document set around it.

Agree the commercial frame

  • Which Incoterms rule applies, so responsibility and cost are unambiguous at every point.
  • Payment terms, and what triggers each stage.
  • What happens on a specification failure, agreed before you need it.
  • Who your named contact is, and how quickly you can expect an answer.

Agrorise confirms terms per quotation rather than publishing a standard set, because they depend on the destination, the volume and the format.

The shortlist test

When you have two or three candidates, ask each the same awkward question and compare the answers rather than the brochures. A good one is this. What is the specification value you are least willing to commit to in writing, and why.

A supplier who answers that question specifically knows their material. A supplier who says every value is guaranteed has told you they have not thought about it.
