The Documents Behind a Cocopeat Shipment
Every container we ship travels with a document file. This guide walks through that file the way we build it, from a real shipment, with customer details kept confidential.
The short answer: a competent cocopeat exporter prepares eight document types, and the destination decides which are mandatory. If a supplier cannot name this list unprompted, that tells you something before any sample does.
1. Commercial Invoice & Packing List
States what is in the container, per pallet or stack, with weights that match the physical count. The packing list is where loading configuration (palletized vs floor) becomes a documented fact.
2. Bill of Lading (B/L)
The contract of carriage and the document of title. We coordinate draft checks with the buyer before release, B/L errors are expensive at destination.
3. Phytosanitary Certificate
Issued by Indonesian plant quarantine after inspection; most destinations require it for growing media. Destination-specific declarations are checked before booking, not after.
4. Certificate of Analysis (CoA)
Independent laboratory results for the shipped product, our reference analyses are issued by SUCOFINDO. Which parameters, which method and which batch are agreed in the quotation.
5. Fumigation & Gas Clearance Certificates
Where destination or line requires fumigation, both the treatment certificate and the gas-clearance certificate travel with the file.
6. Certificate of Origin (COO)
Proves Indonesian origin; preferential forms, such as Form AANZFTA for Australia and New Zealand, can reduce import duty. Our Australian shipment files include the AANZFTA form.
7. Packaging & Manufacturer’s Declarations
Declares packaging materials (ISPM-15 pallets) and production statements some destinations request.
8. MSDS & VGM
Safety data sheet for the product and the verified gross mass declaration required before vessel loading.
What to do with this as a buyer
- Ask which documents your destination requires, and expect the exporter to know.
- Agree the CoA parameters and laboratory in the quotation, not after loading.
- Check B/L drafts yourself; consignee and notify-party errors cause the most delay.
- Keep the file: repeat shipments go faster when the last file was right.
